The home page for the Virginia IFTA IRP Management (VIIM) System (pictured below) allows you to request original accounts, find submissions, view letters, request user registration and manage access agreements.
If you already have access to VIIM System, access the Motor Carrier Portal for login. Once logged into VIIM System you can perform the following:
- Manage your user profile
- Process IFTA and/or IRP transactions
- Remove users from your company
- Add or remove affiliated accounts from your user profile
Motor Carrier
Register a New IRP and/or IFTA Account
This electronic application allows you to create a new IRP and/or IFTA account(s) or fleet(s). The application is designed for operations that are based in Virginia and involve travel in at least one other jurisdiction.
Important Information:
- You will receive notifications at each stage of the account creation process.
- After your application is approved, vehicles may be added to the account either by requesting user access online or by completing the IRP Supplemental Application (IRP 1B).
- Any application that cannot be processed within two weeks will require resubmission.
Access to VIIM System (Account Owners or Employees)
- Original user registration request for the company’s officer or employee
- Register of a “Self-Credentialing Agreement” and original user registration request
Note: If you are a carrier with 75 or more vehicles in your fleet, you can become a self-credentialing carrier. Register and complete the Carrier Self-Credentialing Agreement. Agents of accounts may not request to have a “Self-Credentialing” agreement. If you already have access to VIIM System, proceed to “More” under “Registration”. Please allow up to three business days for approval.
Upon approval, you will receive confirmation emails.
Lookup IFTA Rates
- Look up IFTA tax rates for quarterly or annual tax return filings.
Third Party Access
Third Party Agreement (Agent)
- An agent (e.g., an accountant, bookkeeper or other person or entity who is not an employee of the carrier) can enter into an agreement with the Virginia Department of Motor Vehicles (DMV) to process IFTA and/or IRP transactions on the behalf of a Virginia IFTA/IRP Carrier. If your company would like to represent a carrier, you must enter into an agreement with DMV by selecting and completing a “Third Party (Agent) Agreement” and designating your company’s administrator. Please allow up to three business days for approval.
Upon approval, you will receive confirmation emails explaining the next steps.
Appoint a Third-Party Agent (Carrier Appointing an Agent Agreement)
- Carriers can appoint an agent (e.g., an accountant, bookkeeper or other person or entity who is not an employee of the carrier) to process IFTA and/or IRP transactions on their behalf. If you would like an agent to represent your company, both you and the agent must enter into agreements with DMV. Verify with your agent that they have an approved Agent Agreement with DMV. Please allow up to three business days for review and approval of your Carrier Agreement.
Upon approval, you and your agent will receive confirmation emails.
Access to VIIM System (Third Party Employees)
- Additional user registration requests for existing account or agent records.
Submissions
Find a Submission
After submission of each application, transaction or supplement directly to VIIM System a confirmation code will be displayed. If you would like to check the status of the submission, select “Find a Submission” and enter your email and confirmation code.
