Exhibitor Registration

The company representative who will receive the complimentary registration included in your package will need to be noted on the Exhibitor Registration Application. Please contact Elizabeth Heffernan at 804-497-7132 with any questions regarding the registration application.

Exhibitor Booth Cancellation

Exhibitor booth cancellations carry a 20% handling fee. No requests for refunds will be honored after November 5, 2012.

Guaranteed Hotel Room Reservation

One hotel room reservation per exhibitor at the Sheraton Premiere will be guaranteed if you complete registration as an exhibitor by November 5th. Room cost of $159 not included. Guest name should be completed on the Exhibitor Registration Application. Please do not contact the hotel regarding this reservation. You will be emailed a hotel confirmation number and required to pay by credit card at time of check-in.

Exhibit Booth Assignments

Exhibit booths are available on a first-come, first served basis by completing an Exhibitor Registration Application and emailing it to Elizabeth Heffernan at Elizabeth.heffernan@dmv.virginia.gov. Once your application has been received you will be contacted to discuss preferences and availability.

Once you have contracted for a booth, you will receive an email notification from Alliance Exposition Services that includes a link to the online Exhibitor Service Manual. This will include pertinent information regarding the exhibit schedule, shipping, and ordering additional services.

NOTE:

Conference organizers reserve the right to determine the final allocation of booth space.

Should you require electricity at your booth, arrangements and separate payment must be made directly with the Sheraton Premiere (instructions will be included in your exhibitor packet from Alliance Exposition Services).

Exhibit Shipping Equipment

Alliance Exposition Services will accept crated, boxed or skidded material up to 30 days in advance of the event set-up as detailed in the Exhibitor Service Manual.

DO NOT SHIP ADVANCE FREIGHT TO THE SHERATON PREMIERE.

Should freight be received by the Sheraton Premiere, it will be consigned to Alliance Exposition Services and subject to the prevailing drayage rate PLUS any additional handling fees assessed by the hotel.

Exhibit Booth Staffing

Please staff your booth, at a minimum, during all non-session times throughout the conference.

All non-session times fall within:

Wednesday, December 5 - 1pm to 6pm
Thursday, December 6 - 7am to 6pm
Friday, December 7 - 7am to 12pm

NOTE: These hours are subject to change until the final conference agenda is published.

Refreshment services will be offered in the exhibit area during the conference.
